A better introductionHow to manage digital business cards across a team.
Plan a team digital business card rollout with accurate member data, shared branding, permissions, publishing checks and a manageable employee lifecycle.
Start with authoritative member information
Decide which names, roles, organization details and contact fields come from the company and which remain under the member’s control. Reusable profiles reduce repeated entry and make corrections easier to apply.
Separate templates from content
A shared template should establish hierarchy, logo use, colors and required blocks without forcing every person into identical wording. Personal expertise and direct contact information still need room to remain accurate.
Assign narrow operational roles
Limit publishing, brand management, invitations and exports to the people responsible for those actions. Review permissions during onboarding and role changes rather than treating administrator access as permanent.
Plan the complete member lifecycle
Define how cards are created, reviewed, updated, transferred and unpublished. When someone leaves, revoke workspace sessions and access promptly while following the organization’s retention and handover policy.
Can team members keep individual information?
Yes. Shared organization defaults and templates can coexist with member-specific names, roles, biographies and direct contact routes.
Should every administrator be able to publish cards?
Not necessarily. Publishing, member administration and brand management should be assigned through explicit permissions appropriate to each team’s operating model.
What happens to a QR code when a role changes?
The card can be updated behind its permanent address, allowing an authorized user to correct the role without replacing the QR code already distributed.
